A scratch on the floor: before or after?

It is the question that comes up at the end of every lease. With a 3D condition report, the answer is in the tour: you stand in front of the floor, at the move-in date, and you look. Every room is preserved in full, walls, floors, cabinets, appliances, and the tenant received the same link as you from day one.

Who uses a 3D condition report?

What you receive

What the condition report includes.

  • The dated 3D tour of the unit

Scanned with the Pro3, online 24 to 48 hours after the scan in most cases: dollhouse view, floor plan view, measurement tool.

  • The link for the tenant

An unlisted or password-protected link, given to the tenant and the owner.

  • The 2D floor plan of the unit

Schematic plan in French with approximate areas, ready for the next listing.

  • The move-out scan and the comparison

At the same rate, following the same path; the two tours are viewed side by side.

  • One year of hosting

Each tour stays online for one year, then from $150 per year, for the term of the lease and beyond.

How it works

From the first call to going live.

  1. 1

    A 30-minute call

Number of units, floor areas, move-in dates. Written quote; multi-unit package on quote.

  2. 2

    The move-in scan

Unit empty and cleaned, before the keys are handed over; generally less than an hour per unit.

  3. 3

The tour online, the link delivered

24 to 48 hours later, in most cases, you send the link to the tenant with their condition report form.

  4. 4

    The move-out scan

When the tenant leaves, same path, same camera. You compare the two dates, room by room.

A complement to the form, not a replacement

The 3D tour documents the condition of the unit at a given date; it complements the condition report form or checklist you fill out and sign with the tenant, it does not replace them. It shows what is visible: a scratch, a stain, a hole; it does not detect what is hidden or what does not work. For the rules governing your lease, refer to your legal advisor.

The 3D condition report, for tenant move-in and move-out

A 3D condition report is a Matterport virtual tour of the unit, scanned with the Pro3 camera before the tenant moves in. The camera photographs each position and laser-measures the space; according to Matterport, it is accurate to ±20 mm at 10 m. The tour shows every room in full, from floor to ceiling, at a known date; you move through it, open the floor plan view, take measurements.

When the tenant moves out, a second scan follows the same path. The two tours are compared at the same spot, at the same angle: a scratch, a stain, a mounting hole, a damaged cabinet are there or they are not. It is proof of a unit’s condition that both parties have had in hand since day one.

How it works, unit by unit

The scan is done with the unit empty and cleaned, just before the keys are handed over, or furnished if it is a furnished rental. It generally takes less than an hour per unit. The tour is online 24 to 48 hours later in most cases, with the 2D floor plan and its measurement tool. You give the link to the tenant along with the condition report form you sign together.

The link is unlisted or password-protected; the tour is never published. If needed, tags flag a defect already present at move-in, with a close-up photo, so that there is no ambiguity at move-out.

Comparing move-in and move-out

The move-out scan follows the rate table based on floor area, like the move-in scan. Both tours remain hosted and are viewed side by side; Matterport also offers a synchronized comparison of two scans, which it presents as beta as of September 2026, and which we offer on a trial basis. The same principle serves the 3D before-and-after comparison of a renovation.

Matterport cites the case of Kustom, a restoration company and Matterport customer: according to Matterport, disputes over pre-existing damage disappeared in some regions thanks to digital twins. Still according to Matterport, in the multifamily sector, stakeholders reduce their site visits by 75%. These are results published by Matterport, not commitments by Panosphere; what they describe is a condition report nobody can dispute because everyone has seen it.

Multi-unit buildings: one package per trip

For a building, we scan the units in a single trip, which shares the travel between the units. Each unit has its tour and its link; common areas can be added. You receive a quote within 24 hours based on the number of units and their floor areas. Managers with several buildings will find the same approach in the multi-site portfolio, and our other services for owners in the real estate sector.

New condo, commercial lease, furnished unit

When taking possession of a new condo, the tour documents the unit as delivered by the developer, on the day the keys are handed over: finishes, floors, cabinets, appliances. It then serves for the warranty, and later for resale. For a commercial lease, the condition of the premises at signing and at handover frames the leasehold improvements and the restoration; beyond 10,500 sq. ft., you receive a quote within 24 hours. For a furnished unit, the furniture, appliances and dishes are documented with the unit.

Before work in the building, the pre-construction condition report documents the units and neighbouring buildings; to protect the contents of a unit, the pre-loss inventory complements the condition report.

What the 3D condition report does not replace

The tour documents what is visible at a given date. It complements the condition report form you fill out and sign with the tenant; it does not replace it, and it does not constitute legal advice. For the rules governing your lease, consult your legal advisor.

Frequently asked questions

Your questions, our answers.

What is a 3D condition report?

A Matterport virtual tour of the unit, scanned at the tenant’s move-in, then at move-out. Each tour is dated, shows every room in full and allows measurements. The two are compared from the same point of view.

How long does it take to scan a unit?

Generally less than an hour per unit, empty or furnished. For a building, we scan the units one after the other in a single trip, which shares the travel.

Does the tenant have access to the tour?

Yes, that is the whole point. You give them the link at move-in, with their condition report form. Both parties look at the same thing, at the same date.

How are move-in and move-out compared?

The move-out scan follows the same path as the move-in scan. You open both tours and stand at the same spot in each. Matterport also offers a synchronized side-by-side comparison, in beta as of September 2026, which we offer on a trial basis.

Does the 3D condition report replace the signed form?

No. It complements it: the form remains the document you fill out and sign with the tenant. The tour is its visual, dated and complete proof. For the legal framework of your lease, consult your legal advisor.

Is it suited to multi-unit buildings?

Yes. For several units in the same building, you receive a quote within 24 hours, with the travel shared between the units of a single trip. Each unit has its own tour and its own link.

How much does a 3D condition report cost?

From $395 per unit under 1,500 sq. ft., 2D floor plan and one year of hosting included. The move-out scan is at the same rate. For an entire building, the multi-unit package is on quote.

Can a 3D condition report be done for a new condo?

Yes. When the keys are handed over, the tour documents the unit as delivered by the developer: finishes, floors, cabinets, appliances. You come back to it for the warranty or for resale.

What about commercial premises?

Same principle: the condition of the premises at lease signing and at handover. The measurements and the 2D floor plan also help plan leasehold improvements. Beyond 10,500 sq. ft., you receive a quote within 24 hours.

How long does the tour stay online?

One year is included; after that, hosting continues from $150 per year, for the term of the lease and beyond. You decide at each renewal.
